What ParentPay does

     Pupil data

Using our tool ParentPay MIS:Sync, ParentPay links with School MIS to upload pupil data –creating and maintaining individual family accounts.

Data can be easily synchronised at any time to recognise children joining and leaving the school.

     Services

Services are created by schools, and configured to include information like description, costs, payment due date and accountancy code information; every payment through ParentPay is specific to an individual pupil and Service.

Services can be fixed or variable amounts and recurring items like dinner money can be set to appear each time parents login. Amounts can be customised on an individual basis, for instance for families that are entitled to a discount or dispensation.

     Dinner money

Links to cashless catering systems ensure that when dinner money is paid for online it is instantly credited to pupils’ accounts without manual intervention.

Primary schools without a cashless catering system can upgrade to our complete dinner money management system, ParentPay Dinner Money.

     Reporting and reconciliation

All payment data is stored centrally online and is instantly accessible.

You can report on payments across a date range and can view all data or just those payments associated with one service; reports even show who hasn’t paid for a service or trip!

Our ParentPay Reconciler report will help you easily post income into your financial MIS and all our reports can be downloaded into Microsoft Excel.

Links with some private fund management software allow import of ParentPay income data via an Excel report – negating the need for manual data input.

     Banking and payments

ParentPay transactions are carried out using the highest security with income collected paid straight into your school bank account.

     Hosting

ParentPay is hosted in a secure data-centre facility; no software has to be installed by school or parents - everyone can access ParentPay online through a standard internet connection.

ParentPay retains all transaction data and history; schools need not take back-ups – we also keep previous years records for auditing and reporting.

Your subscription includes hosting, maintenance and management of ParentPay and your historical data, it also includes your support and all our upgrades and new features* – at no extra cost.
